Quick start guide for new AssetVault users

Getting Started with AssetVault

Welcome to AssetVault! This guide will help you get up and running quickly.

Prerequisites

Before you begin, ensure you have:

  • A registered AssetVault account
  • Access credentials (email and password)
  • Basic understanding of asset management concepts
  • (Optional) Asset data ready for import

Step 1: Create Your Account

  1. Navigate to the AssetVault registration page
  2. Enter your email address and create a secure password
  3. Verify your email address by clicking the link sent to your inbox
  4. Complete your profile information

Step 2: Set Up Your Company

After logging in for the first time:

  1. Click Create Company from the dashboard
  2. Enter your company details:
    • Company name
    • Financial year end date
    • Default currency (£ GBP)
    • Tax rate (if applicable)
  3. Configure depreciation settings:
    • Default depreciation method (Straight-line, Reducing balance)
    • Default useful life periods
  4. Click Save to create your company profile

Step 3: Add Your First Asset

Manual Entry

  1. Navigate to AssetsCreate Asset
  2. Fill in the required fields:
    • Asset Name: Descriptive name for the asset
    • Asset Type: Category (e.g., Equipment, Vehicles, IT Hardware)
    • Purchase Date: Date of acquisition
    • Cost: Original purchase price
    • Useful Life: Expected years of use
  3. (Optional) Add additional details:
    • Location
    • Serial number
    • Photo or attachments
  4. Click Create Asset

Bulk Upload

For multiple assets, use the bulk upload feature:

  1. Navigate to AssetsBulk Upload
  2. Download the Excel template
  3. Fill in your asset data
  4. Upload the completed file
  5. Review and confirm the preview
  6. Click Import to add all assets

Step 4: Configure Depreciation

  1. Go to CompanyConfigure
  2. Navigate to the Depreciation Settings section
  3. Set your preferences:
    • Depreciation method per asset type
    • Default useful life periods
    • Pro-rata calculation preferences
  4. Click Save Settings

The depreciation engine will automatically calculate depreciation for all your assets based on these settings.

Step 5: Explore Key Features

Dashboards

View real-time insights on your asset portfolio:

  • Total asset value
  • Depreciation trends
  • Asset distribution by type/location
  • Upcoming disposals or reviews

Reports

Generate comprehensive reports:

  • Asset register
  • Depreciation schedules
  • Disposal reports
  • Lease liability summaries

Exports

Download your data:

  • Excel exports for external analysis
  • PDF reports for stakeholders
  • CSV files for integration with other systems

How to Request Data Deletion

AssetVault is committed to protecting your privacy and data rights. If you wish to request deletion of your personal data:

  1. Log into your account
  2. Navigate to ProfilePrivacy Settings
  3. Click Request Data Deletion
  4. Confirm your request
  5. You will receive an email confirmation within 24 hours
  6. Data deletion will be completed within 30 days

Troubleshooting

Can't log in?

  • Ensure you've verified your email address
  • Try resetting your password
  • Check that Caps Lock is not enabled

Assets not appearing?

  • Refresh the page
  • Check your filter settings
  • Ensure you've selected the correct company

Depreciation not calculating?

  • Verify depreciation settings are configured
  • Check that asset purchase dates are valid
  • Ensure useful life is greater than zero
